The 9-Month Udaipur Wedding Planning Timeline

Most timeline articles online are written for local weddings. Destination weddings in Udaipur run on a different clock — and getting the sequencing right is the difference between a calm 8 weeks before the wedding and a panicked one.

This is the playbook we use.

Month 9: Venue and date

The single most important decision. Peak season (mid-November to mid-February) at marquee properties — Taj Lake Palace, Leela Palace, Oberoi Udaivilas, Fairmont — is booked 9–12 months in advance. Off-season (April–September) is more flexible.

Get the venue shortlist (we do this in 24 hours)
Visit shortlisted properties (1–2 venues, 1 trip)
Lock the venue with deposit
Do not book the planner, decorator, or photographer yet

Month 8: Planner + photographer

These are the only two vendors whose calendars matter as much as the venue's.

Sign your planner (full-service for destination weddings — non-negotiable)
Lock the photographer
Reserve a hold on a decorator

Month 7: Save-the-date + room block

Send save-the-dates (digital is fine)
Open the room block — guests start blocking nights
Begin guest list nesting (Bride side / Groom side / Plus-ones)

Month 6: Wardrobe and design

This is when the wedding visual identity locks.

Bride wardrobe — first fittings (lead times 4–5 months for couture)
Mood board and décor direction with planner + decorator
Wedding website + RSVP form goes live

Month 5: Vendor lock

Music — DJ, band, sangeet choreography
Hair and makeup teams (book per event, not per day)
Mehendi artist
Florals concept

Month 4: Food

Two parallel tracks: menu finalisation and the menu tasting trip.

Menu draft (cuisine, dietary nuances, late-night counters)
Tasting trip to Udaipur (combined with second venue visit)
Bar package decision

Month 3: Invitations and logistics

Physical invites printed and dispatched
Hospitality kit design (boxes, welcome notes, schedule cards)
Transport plan (shuttles, golf carts, VIP cars)

Month 2: RSVPs and rooming

RSVP cutoff
Final room block reconciliation (release unsold rooms back to the venue)
Detailed guest movement sheet

Month 1: Production

Décor walk-through with the planner and decorator at the venue
Pre-event production schedule (load-in, rehearsal, soundcheck)
Family responsibilities document
7-day weather contingency plan

Wedding week

By now, if the previous months were done well, this week is execution, not decisions. The planner runs the show. The bride and groom rest.

What NOT to do early

Do not finalise décor before locking the venue. Spaces dictate scale.
Do not lock the menu before the food tasting trip.
Do not over-book the bridal party schedule in week 1 — give yourself ground.
